During the day
While the office is open, the agent can act as the receptionist. Appointments requests, directions, hours, which providers are in the notes, and a transfer to billing or a named person. It restates the reason and the fact that the office is open before it moves the call.
Lunch and after hours
At lunch, non-urgent appointment calls should be asked to call back when the desk reopens, with the time said clearly. After hours, non-urgent concerns become messages. If a parent describes an emergency pattern you have defined, the agent tells them to call emergency services and does not continue a routine script.
A single, uncomplicated concern can use a care guide the practice approved. Several problems, a recent procedure, a very young infant with a fever, or a parent who does not want the guide should become a message for the on-call nurse or doctor. The agent does not invent a dose or a diagnosis.
A boundary worth saying out loud
Nothing on this page is a claim of HIPAA certification. A live clinical line still needs the right agreements, a review of where the audio and the notes go, and a script the practice is willing to own.
